Job Summary:

Mori Web Studios is looking for a full-time freelance Junior Executive Assistant to support scheduling, project coordination, team communication, reporting, documentation, and day-to-day business operations.

This is an entry-level role for someone who is highly organized, dependable, proactive, quick to learn, and comfortable managing multiple priorities. Previous professional experience is not required.

Job Description

Responsibilities:

  • Manage and organize calendars, meetings, appointments, deadlines, and reminders
  • Help maintain the founder’s daily and weekly schedule
  • Keep track of important commitments, follow-ups, deadlines, and upcoming priorities
  • Maintain and update project-management systems, task boards, and trackers
  • Create, organize, assign, and update tasks based on instructions and project discussions
  • Monitor project progress, deadlines, outstanding tasks, and blockers
  • Follow up with team members regarding assigned tasks, progress, deadlines, and missing information
  • Help coordinate work between the founder, team members, contractors, clients, and other stakeholders
  • Communicate routine reminders, updates, instructions, and follow-ups to team members
  • Schedule and coordinate meetings and availability
  • Prepare meeting agendas when needed
  • Take meeting notes and convert discussions into clear tasks, action items, and follow-ups
  • Prepare daily and weekly summaries of priorities, deadlines, pending tasks, and items requiring attention
  • Prepare weekly, monthly, project, team, client, and internal reports using provided information and templates
  • Gather information from project-management tools, spreadsheets, team updates, and other sources for reporting
  • Organize report information into clear summaries, tables, trackers, and action items
  • Track completed work, pending tasks, deadlines, project progress, and blockers
  • Review reports for accuracy, completeness, formatting, and professionalism
  • Organize Google Drive folders, documents, spreadsheets, files, and internal resources
  • Maintain project documentation, SOPs, trackers, contact lists, and internal records
  • Prepare and maintain spreadsheets for projects, operations, reporting, and team management
  • Keep track of items waiting on clients, contractors, team members, or the founder
  • Remind the founder about important follow-ups, outstanding decisions, and deadlines
  • Assist with email organization and routine business communication when needed
  • Help organize client onboarding, team onboarding, project setup, and recurring operational tasks
  • Research tools, services, vendors, businesses, information, and possible solutions when requested
  • Help prepare project summaries, internal documents, reports, and other business materials
  • Assist with other administrative, coordination, reporting, and operations tasks as needed
  • Identify tasks that are overdue, blocked, incomplete, unclear, or missing information
  • Communicate progress clearly and ask questions when requirements are unclear
  • Review your own work for accuracy and completeness before submitting it

  • Comfortable using Google Docs, Google Sheets, Google Drive, Google Calendar, and similar tools
  • Comfortable learning project-management tools such as ClickUp, Asana, Notion, Trello, Monday.com, or similar platforms
  • Comfortable organizing information and turning it into clear summaries or reports
  • Comfortable working independently in a remote environment
  • Able to maintain confidentiality when handling business, client, and team information
  • Able to occasionally overlap with U.S. Eastern Time for meetings or updates
  • Reliable computer and internet connection
  • Based in the Philippines
